Step-by-Step Guide: How to setup Microsoft 365 Multi-Factor Authentication(MFA/2FA) on mobile device

Adding two-factor authentication (2FA) to your Office 365 account is one of the best ways to keep your email and data secure. It adds an extra layer of protection by requiring a code from an app on your phone whenever you sign in, helping prevent unauthorized access.

1. Goto the setup page: Open a web browser on your computer and go to https://aka.ms/mfasetup

2. Signin: Enter your work Microsoft 365 email address and password to sign in.

3. Select next: Click Next on the prompt for more information/password reset.

4. Install the app: Download the Microsoft Authenticator app on your mobile device if you haven’t already.


5. Add work or school account: On the authenticator app, select Add account, then choose Work or school account.

6. Scan the QR code: Scan the QR code displayed on your computer screen with your Microsoft Authenticator app to link the account.

7. Complete the process: Follow the on-screen instructions to complete the steps, which may involve approving a notification from the Authenticator app on your phone.

8. OPTIONAL: Add your phone number: You will be prompted to add your mobile phone number for SMS verification.

9. Finish: Once the all the steps are complete, your account is now protected with MFA.

Important Notes:

  • You won’t be prompted every time, only when signing in from a new device, location, or occasionally when your session expires.
  • Only approve sign-in prompts or enter codes when you are personally signing in.
  • Never share your authentication codes with anyone, and do not approve prompts on your phone unless you are actively logging in yourself.
  • This helps keep your account secure and prevents unauthorized access.
